Privacy Policy
Effective 18 October 2026
RTECHSOFTGEN INDUSTRIES ("RTechSoftGen", "we", "us") is a manufacturer of custom parts in India. This policy explains what personal data we collect, why we collect it, who we share it with, and the rights you have over it. We handle personal data in line with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000, and the rules made under them.
This policy also sets out how we keep your drawings and design files confidential. This is the privacy agreement referred to elsewhere on our website.
1. Information we collect
- Contact details: your name, company, job title, work email, phone number and delivery address with PIN code.
- Project information: drawings, CAD files, specifications, quantities, materials, finishes, tolerances and deadlines that you send for a quote or order.
- Order and billing details: purchase orders, invoices, GSTIN, payment records, and the dispatch and e-way bill details needed to deliver your parts.
- Chat details: your WhatsApp number, profile name and anything you send us in a WhatsApp chat or tell us during a call.
- Correspondence: emails, messages and notes from calls with your project engineer.
We do not ask for sensitive information (such as health or financial account credentials), and we do not process card details on this website. Please do not send us these.
2. How we collect it, and your consent
We collect information directly from you when you fill in our quote form, message us on WhatsApp, email us, speak with your project engineer or place an order. We may also receive details about you from a colleague who refers you, or from your company when it places an order.
We process your personal data with your consent, which you give when you send us an enquiry, and where the law allows it for legitimate uses such as fulfilling an order you have placed or meeting our legal obligations. You can withdraw consent at any time by emailing us. We need contact details and drawings to prepare a quote and fulfil an order.
3. Why we use it
- To prepare quotes, give design feedback and answer technical questions.
- To manufacture, inspect, dispatch and deliver your parts, including the transport documents required for movement of goods in India.
- To raise GST invoices, keep business records and meet our tax and legal obligations.
- To handle quality issues, returns and remakes.
- To contact you about your quotes and orders. We will only send marketing emails if you agree, and you can unsubscribe at any time.
4. Your drawings and designs
Your designs belong to you. Any drawing, CAD file or specification you send us:
- is used only to quote, make, inspect and deliver your parts;
- is shared only with the people working on your order;
- is never used to make parts for anyone else, or shared with other customers;
- is never published or used in our marketing without your written permission.
Moulds, dies and other tooling you pay for belong to you. We store them for your repeat runs and release them on request. If your company needs an NDA, we will sign yours or provide ours. Where an NDA applies, its terms take priority over this section.
5. Who we share it with
We share only what is needed with:
- our own manufacturing, quality and dispatch teams;
- transporters, couriers and freight partners that deliver your parts;
- service providers that run parts of our business: Tally (quote forms), WhatsApp (Meta, if you choose to message us there), website analytics providers (Google and Microsoft, only if you accept cookies), our email and file storage providers, and our accountants and payment providers;
- government bodies, regulators or courts when the law requires it.
We do not sell, rent or trade your personal data.
6. Storing data outside India
Some of our service providers, including Tally, WhatsApp, Google and Microsoft, may store data in other countries such as the United States or in the European Union. We take reasonable steps to make sure anyone who holds your data outside India protects it, and we do not transfer personal data to any country the Government of India has restricted.
7. How we protect it
We store information in access-controlled systems, limit access to staff who need it for your order, and use encrypted connections for our forms. No system is completely secure. If a personal data breach occurs, we will inform you and the Data Protection Board of India as the law requires.
8. How long we keep it
We keep quote and order information for as long as we need it to serve you, support repeat orders and meet legal obligations. Indian tax and company law, for example, requires us to keep accounting and GST records for several years. When we no longer need information, we delete or anonymise it. You can ask us to delete your drawings at any time after your order is complete, unless we must keep them for legal reasons.
9. Cookies and third-party tools
When you first visit our website, we ask whether you accept cookies. We only use analytics cookies if you click "Accept all". If you choose "Essential only", we use only the cookies and browser storage the site needs to work, including remembering your choice. You can change your choice at any time using the Cookie settings link at the bottom of every page.
If you accept cookies, we use these tools to understand how people use our website so we can improve it:
- Google Tag Manager (Google): loads and manages the other tools on this list. It does not set cookies of its own.
- Google Analytics (Google): counts visits and shows which pages people view, how they arrived and roughly where they are. It uses cookies to tell new visitors from returning ones.
- Microsoft Clarity (Microsoft): records how visitors move, click and scroll on our pages, including heatmaps and session replays, so we can find parts of the site that are hard to use. Clarity hides text you type into forms. It uses cookies to link page views within a visit.
We use this information only in summary form to improve our website. We do not use it to identify you, and we do not use it for advertising. If you do not accept cookies, Google tools run in a limited mode without cookies, and Microsoft Clarity does not load at all.
When you open our quote form, Tally loads inside the page and may set cookies needed for it to work. If you tap a WhatsApp button, your chat is with WhatsApp and is handled under WhatsApp's privacy policy. Please avoid sending sensitive drawings over WhatsApp if your company requires an NDA first; email them to us instead. Our website also loads fonts from Google Fonts, which receives your browser's IP address. Each provider's own privacy policy explains how it handles this data: Google, Microsoft and Tally .
10. Your rights
You can ask for a summary of the personal data we hold about you and who we have shared it with, ask us to correct or complete it, ask us to erase it, withdraw your consent, or nominate another person to exercise these rights if you are unable to. Email us and we will respond within 30 days. We may need to confirm your identity first. If we cannot act on a request, we will tell you why.
11. Grievances
If you have a concern about how we have handled your personal data, please email our grievance contact below with the details. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If you are not satisfied with our response, you can complain to the Data Protection Board of India.
